Executive Assistant to the Argo Executives

Position Summary:
The Executive Assistant will be assisting two Vice Presidents and will play a vital role in ensuring the seamless operation of the VP’s office. This individual will provide high-level administrative support, manage key priorities, and act as a trusted liaison between the VPs and internal/external stakeholders. This position requires exceptional organizational skills, discretion, resourcefulness, enthusiasm, and the ability to thrive in a fast-paced environment.

Responsibilities:

Administrative Support:

o   Manage and maintain the VP’s calendar, scheduling meetings, and appointments.

o   Screen and prioritize phone calls, voicemails, and visitors.

o   Collaborates with HR for new hire appointments, offers, and follow ups.

o   Prepare meeting agendas, take minutes, and ensure follow-up on action items.

o   Collaborates with IT Department for any tech issues.

Prospect Pitch Coordination:

o   Create and maintain reports, presentations, and spreadsheets.

o   Distributes KPI reports on a weekly basis.

o   Assists with managing action items, tracking deadlines, and coordinating deliverables.

o   Tracks and collaborates prospect client packets for review and approval.

o   Draft communications for review and approval.

Communication:

o   Serve as the primary point of contact for the VP, liaising with internal teams, clients, and vendors.

o   Draft, edit, and proofread professional documents and communications.

Travel & Event Management:

o   Organize business travel arrangements, including itineraries, accommodations, and expense reports.

o   Coordinate internal events, team meetings, and client engagements, live or zoom.

o   Works with Marketing Coordinator for marketing, internal/external announcements, and communication to clients based on direction of VP.

Office Management:

o   Handle confidential documents and ensure security of sensitive information.

o   Manages and liaisons for the assistants.

o   Collaborates with all departments to address internal and external needs.

o   Manages and ensures accuracy on Board lists on shared drive and acctg. system.

Qualifications:

·       5+ years of experience as an Executive Assistant or in a similar role, preferably in real estate or a related industry.

·       Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM software is a plus.

·       Exceptional organizational and time-management skills.

·       Strong written and verbal communication abilities.

·       Ability to work independently, multitask, and adapt to changing priorities.

·       Professional demeanor and ability to maintain discretion with confidential information.
